Scheduling

30 days’ notice requiredProvide three available weeks. Two of them need to be 30 days out. The earliest date these fields will accept is already set for you.
  • If the lab is live, additional charges will apply, as our technicians will need to be in the lab longer working around lab needs.
  • If additional equipment / requests are made that are not on the list, additional charges may apply. Our technicians, depending on their schedule, may not be able to complete additional work on the same visit.
  • If the scheduled service is cancelled within 7 days of PM visit, the cancelled trip will be billable. This does not apply to rescheduled visits.

This one may be sooner than 30 days.

Customer acknowledgement

Unless otherwise agreed in writing, Terms are Net 15 from ship / service / repair date.

If customer is NOT on-site for the scheduled PM visit, the NextGen LifeLabs technician will use his discretion to complete the service fully or partially, dependent on any issues that may arise.

If adjustments need to be made to equipment, it is at the technician’s discretion to make any associated adjustments, unless previously discussed with the facilities customer contact.

Any other issues at time of service, will need to be quoted by your sales representative and may not be taken care of during this visit.

If live, additional charges may apply as the job may take longer.

If we do not know in advance, our technician may not be able to stay and additional monies may apply.

If the scheduled service is cancelled within 7 days of PM visit, the cancelled trip will be billable.

  • Individual is authorized to act / sign on behalf of facility and will handle any necessary PO’s / payment arrangements.
  • Customer must be onsite during service/repair.
  • Pre-visit call to outline/confirm job scope with sales representative.
  • You must communicate with your staff/team about upcoming visit.

If above is not followed, the equipment may not be serviced and/or an additional charges may apply.

  • Before arrival, you must Decontaminate / Disinfect Goods.
  • Before arrival, you must empty incubators - no embryo can be contained in device(s).
  • Before arrival, you must check to ensure Incubators are heated, gassed, and humidified, if applicable. (You need to power on the incubators in advance.)
  • Technician must have clear access to equipment to be serviced/repaired.

Microscopes - inspection; cleaning of external optics and internal lenses that easily unscrew/remove; and lubrication of areas accessible without disassembly. If we identify a possible issue requiring internal service, that is noted on the report with verbal notification to the lab representative.

Incubators - typically need a calibration to the current set point which will effect QC, once the offsets are complete the customer will be responsible to recheck and adjust their QC.

  • Calibration is the offset measurement which WILL effect the QC.
  • Validation Only if a device is found in or out of tolerance then the device will be left how it is found without offsets being made to correct.
  • NextGen LifeLabs self-certifies using National Institute of Standards and Technology (NIST) guidelines.
  • Field calibration equipment is calibrated in-house using equipment sent annually to a NIST compliant testing facility.
  • Gas calibration is prepared by weights traceable to the National Institute of Standards and Technology (NIST) with analytical uncertainty +/-1%.
  • Service reports will be available within 30 days.
